Getting Started
- Open Publisher and choose a built-in template (flyer, brochure, business card, newsletter, etc.) or start with a Blank Publication.
- Set your page size under Page Design tab → Size, or customize with Page Setup.
- Choose a Color Scheme and Font Scheme early — these apply consistently across the whole document.
- Use guides (Page Design tab → Guides) to keep margins and columns consistent before adding content.
Tip: Starting from a template is almost always faster than a blank page — you can strip out anything you don't need and keep the professional layout structure.
Working with Text Boxes
- Insert a text box: Insert tab → Draw Text Box → click and drag on the page.
- Link text boxes: Select a text box with overflowing text → click the Create Link icon that appears → click the next box to flow text into it (great for newsletters/brochures).
- AutoFit text: Right-click a text box → Format Text Box → Text Box tab → choose Shrink text on overflow or Grow text box to fit.
- Add a drop cap: Text Box Tools → Text Effects → Drop Cap.
- Adjust text box margins: Format Text Box → Text Box tab → Internal Margin settings.
- Change text direction: Text Box Tools → Text Direction.
Working with Pictures & Objects
- Insert a picture: Insert tab → Pictures → From File / Online Pictures.
- Swap a picture without moving its frame: Right-click the image → Change Picture.
- Crop a picture: Picture Tools → Crop, then drag the handles.
- Wrap text around an image: Picture Tools → Wrap Text → choose Square, Tight, Through, etc.
- Apply picture styles/borders: Picture Tools → Picture Styles gallery.
- Insert shapes: Insert tab → Shapes → draw on the page, then style via Drawing Tools.
- Insert a table: Insert tab → Table → drag to set rows/columns.
- Insert WordArt: Insert tab → WordArt for stylized headline text.
Alignment & Layout Tools
- Align objects: Select multiple objects → Drawing Tools/Picture Tools → Align → Align Left/Center/Right, Align Top/Middle/Bottom.
- Distribute objects evenly: Same Align menu → Distribute Horizontally / Vertically.
- Snap to guides: Page Design tab → Guides → enable Snap options (View tab → Guides → Snap to Guides).
- Use the Layout ruler & baseline guides: Page Design tab → Guides → Baseline Guides — helps line up text across columns.
- Measurement Pane: View tab → Measurement Pane, for precise positioning and sizing of any selected object.
Master Pages
Master Pages hold repeating design elements (page numbers, headers, logos) across many pages.
- Go to Page Design tab → Master Page → Edit Master Pages.
- Add the elements you want repeated (logo, page number field, footer text).
- Click Close Master Page to return to your normal pages — the elements now appear on every applicable page.
- Multi-page publications can use different Master Pages per section (e.g., different layout for a cover page).
Building Blocks & Templates
- Building Blocks: Insert tab → Page Parts / Calendars / Borders & Accents / Advertisements — pre-designed elements you can drop straight into your layout.
- Save your own Building Block: Select an object or group → Insert tab → Building Blocks → Add Selection to [Gallery].
- Save a publication as a template: File → Save As → choose Publisher Template (*.pub) file type — reuse the layout for future projects.
Color Schemes & Fonts
- Change color scheme: Page Design tab → Schemes gallery, or Create New Color Scheme for full customization.
- Change font scheme: Page Design tab → Fonts dropdown — swaps heading/body fonts across the whole document at once.
- Apply a custom font/color to one object: Select the text/object → use Home tab Font and Font Color controls directly (overrides the scheme for that item only).
Mail Merge in Publisher
Useful for personalized postcards, letters, or labels.
- Go to Mailings tab → Select Recipients → choose an existing list (Excel, Outlook contacts) or type a new one.
- Click Insert Merge Field to place fields like
«FirstName» into your design.
- Use Preview Results to check how the merge will look.
- Click Finish & Merge → choose Print, Email, or create individual publications.
Preparing for Print
- Check for design problems automatically: File → Info → Run Design Checker — flags issues like text running off the page, low-resolution images, or objects outside the printable area.
- Set bleed for professional printing: Page Design tab → Page Setup → set bleed under advanced print settings if using a commercial printer.
- Choose CMYK vs RGB: File → Print → Printer Properties — use CMYK for commercial/offset printing, RGB for home/office printers and digital use.
- Check image resolution: Aim for at least 300 DPI for anything that will be printed, to avoid blurry output.
Exporting & Sharing
- Export as PDF: File → Export → Create PDF/XPS Document — best for sending to a commercial printer or sharing digitally.
- Export as an image: File → Export → Change File Type → choose JPEG, PNG, etc. (good for single-page designs like social graphics).
- Pack for a commercial printer: File → Export → Pack and Go — bundles fonts and linked images into one file so nothing is missing when sent to a print shop.

Pro Tips
- Always run Design Checker (File → Info) before printing or exporting — it catches issues you'd otherwise miss.
- Use Master Pages for anything with repeating elements (multi-page newsletters, booklets) instead of copying elements onto every page manually.
- Group related objects (
Ctrl + Shift + G) before moving or resizing a whole section of a layout.
- Keep a personal library of Building Blocks for logos, headers, and footers you reuse often — it saves rebuilding them each time.
